Add a product or a menu item
Create a product in your shop or a menu item in your restaurant from the product editor: name, photos, price, stock and category, then save it as a draft or publish it. When the editor refuses a save, it tells you what to fix.
On this page
Before you start
- The Manage products permission in your role.
- The View & edit product costs permission if you want to enter a Cost per item.
The product editor keeps everything a product needs on one page, split into sections; on wide screens the On this page index takes you straight to any of them. In shops the screen is called Products, in restaurants and cafés Menu items, and the steps are the same in both.
Create the product
Step 1: Open the product list
In the sidebar open Catalog › Products, or Catalog › Menu items in a restaurant.
Step 2: Select Add product
In a restaurant the button reads Add menu item and opens New menu item.
Step 3: Write the name and description
In Basic info enter the Name, at least in the store’s default language. The Short description shows in listings and search results; the Description is the full text on the product page. Translate empty fields fills the other language from what you wrote, so read the translation before you save.
Step 4: Add photos
In Media upload up to
20images; the first is the main one. A shop product needs at least one image to be published; a restaurant’s menu item can be published without one.Step 5: Set the price
In Pricing enter the Price. The Compare-at price is optional and shows struck through; it must be higher than the price. Cost per item is seen only by your team and gives the Margin.
Step 6: Set up stock
In Inventory enter the SKU and Barcode if you have them. Turn on Track stock to stop selling at zero, then enter the Opening stock for each location.
Step 7: Organise the product
In the Organization card choose the Category (required), and add Tags and Collections if you like. Turn on Featured to show the product first where the store highlights products.
Step 8: Save
Select Save and publish to put it on the store, or Save as draft to keep it hidden until you publish it. When Product published or Product saved as a draft appears, the product is saved and you land on its page.
What differs between a shop and a restaurant
| Field | Shop | Restaurant or café |
|---|---|---|
| The Shipping section: Weight and Package size | Shown unless the product has options | Not shown |
| Brand and Return policy | In the Organization card | Not shown |
| Preparation time and Add-on groups | Not shown | In the Organization card |
| At least one image to publish | Required | Not required |
When the editor refuses to save
The editor checks the fields before it sends anything. If it finds a problem it saves nothing, and shows a red box at the top of the page titled like Fix 2 problems before saving:, with one line per problem: the field, then the reason, like “Name: This field is required.”. The cursor moves to the first field with a problem, or to the box itself when the problem has no field to type in.
- Select any line in the box to jump to the section with the problem.
- The box updates as you fix things and disappears when nothing is left. Then save again.
- Some problems have no obvious field: a Description longer than allowed, an option without a name or values in Options and variants, or an invalid number in Opening stock. The box names those too.
- On a saved product, if some sections were saved and one was not, that section is marked This part wasn’t saved and the save bar says Some changes weren’t saved. Fix the marked section and save again.
Product status and visibility
Every product has one of three statuses: Draft, Active or Archived. Change it in the Status card with Publish, Unpublish, Archive and Restore; restoring brings the product back as a draft. Save your edits before changing the status.
- When publishing is refused, the card shows It can’t be published yet: with what is missing, each line linking to its section: Add the name in the store’s language, Add at least one image (shops), Turn on at least one variant or Turn on its category.
- A product can be active and still not show on the store; the card says Not visible on the store with the reason: its category is turned off, no variant is active, or it is out of stock and the store hides such products.
- After the first save you can set a different price at a branch or location under Prices by location with Add a location price, and change quantities under Stock by location with Adjust.
- Duplicate at the top of the editor makes a draft with the same details, options and prices, without stock or reviews.
Options and variants
If the product comes in sizes or colours, turn on This product has options in the Options and variants section. Each combination of option values becomes a variant with its own price, SKU and stock, so Pricing and Inventory give way to the variants table.
- Select Add option, type the Option name, like “Size”, then type each value and press
Enter. The Swatch colour is optional and shows the value’s colour on the store. - Under When saving the options choose Create every missing combination, or Only keep the combinations I add to add them yourself with Add combination.
- On a saved product, Review the variant changes shows what will be created and deleted before anything is saved; select Save options, or Keep editing to go back.
- Up to
3options per product,50values per option and100variants per product.
Why can’t I publish the product?
Every product needs a name in the store’s language, an active variant and an active category, and a shop product needs at least one image. The Status card shows what is missing.
I added a product and it was gone after a reload. Why?
Most likely it was never saved: the editor refused the save and showed the red box at the top of the page. Look for the product under the All tab; if it isn’t there, enter it again, fix what the box lists, and wait for the saved message before you leave.
Can I delete a product that has orders?
No. A product that was never ordered is deleted for good; for a product with orders choose Archive instead to take it off the store.
Which image formats are accepted?
PNG, JPEG, WebP and AVIF, up to 5 MB per image and up to 20 images per product.
